UBS Financial Services Executive Assistant in New York, New Jersey

Your role:

Are you a detail-oriented multitasker? Do you know how to make sure things run smoothly? We're looking for someone like that who can provide executive administrative support to senior managers in our audit team. You will:

  • manage and maintain calendars, including conference calls, vacation, travel and internal / external meetings

  • assist in the preparation of high quality PowerPoint presentations and other documents organize training sessions, workshops, and conferences, coordinating locations, attendees, materials and communication

  • provide organizational support for two offices (New York and Weehawken), including: ordering supplies, software and hardware; maintaining files (paper and electronic) and other confidential information; coordinating new hire requirements

  • liaising with assistants from multiple teams across the firm and ensuring forward planning for meetings, events and deliverables

You'll be working in the Group Internal Audit Americas team and based mainly in New York with some travel to Weehawken on a pre-arranged basis.

Your experience and skills:

You have:

  • Several years of administrative experience in a fast-paced, global environment

  • Demonstrated proficiency in Microsoft Office (Outlook, Word, PowerPoint, Excel)

  • Ability to identify problems, find solutions and prioritize

You are:

  • A strong written and verbal communicator, comfortable interacting with colleagues at all levels

  • Extremely organized, with an innate sense of how to prioritize (you make lists and get things checked off)

  • A good team player, with drive and enthusiasm

  • A multitasker, able to manage a multitude of tasks effectively, efficiently with minimal supervision
