UBS Financial Services Management Support Officer - Vice Chairmen Office in Zürich, Switzerland
Are you a detail-oriented multitasker? Do you know how to make sure things run smoothly? We are currently seeking a Management Support Officer/ Executive Assistant to support the WM Divisional Vice Chairmen.
The ideal candidate is driven, independent and pro-active, and has a proven track record of executive support. Furthermore, the candidate can effectively prioritize tasks, is highly reliable and possesses a thorough knowledge of the organization, thereby enabling the Divisional Vice Chairman's to operate at the highest level of efficiency.
Candidates should have the proven ability to identify problems and make sound judgments on a day-to-day basis regarding assigned and ad hoc administrative duties.
Responsibilities for this role include, but are not limited to:
Calendar management, including scheduling of appointments across multiple time zones, arranging rooms, conference calls and video conferences
E-mail review and management - flagging important issues
Independent management of professional phone, e-mail communications and formal written communication with internal and external stakeholders
Organize and pro-actively propose travel arrangements and itineraries in alignment with the banks cross border rules
Processing of expense reports in a timely manner

Your experience and skills:
a proven track record in administration and executive and executive support related tasks and able to work independently level support
strong knowledge of the MS Office product suite, especially Outlook
experienced in handling a wide range of administrative
strong decision making ability and attention to detail
an excellent calendar management skills, including the coordination of complex executive meetings
the ability to interact with staff (at all levels) in a fast paced environment, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality is crucial to this role
well organized, flexible and enjoy the administrative challenges
experienced in scheduling travel arrangements for management
a team player
fluent in German and English, additional languages are an advantage
